How to compare a purchase order with a supplier invoice
A supplier invoice can look correct while still differing from the purchase order at line level. Compare normalized identifiers and amounts before relying on the invoice total.
Check each line in this order
- Identity: connect the supplier item code or barcode to the catalog SKU. Keep uncertain matches unresolved.
- Price: compare the invoiced unit price with the agreed supplier price or PO line, in the same currency.
- Quantity: account for case or pack size before comparing ordered and invoiced units.
- Duplicates: flag repeated invoice lines instead of silently adding them.
- Coverage: state explicitly when the PO, currency or product mapping is missing; a partial check is not a clean invoice.
Differences that need separate actions
- A higher unit price needs a supplier explanation, credit note or corrected invoice.
- A quantity mismatch needs receiving evidence and confirmation of pack size.
- A currency mismatch cannot be resolved by numeric comparison alone.
- An unknown SKU needs a saved mapping or corrected source data.
- A duplicate line needs confirmation before payment, even when the invoice total is internally consistent.
